Under the supervision of the Corporate Office Services Manager, the Office Services Assistant is responsible for scheduling office maintenance and coordinating with building management to provide resolution. This individual acts as a point of contact for building management and corporate office vendors and is responsible for inventory control, approving corporate office supply requests and supply ordering. Other responsibilities include processing security access requests and handling security access, coordinating the timely sorting and distribution and dispatching of incoming and outgoing, mail, department mail, courier deliveries and overnight and Ground shipments. The Office Services Assistant will operate the postage meter, mail folding and inserting machine, in addition to routine office equipment and respond to Corporate Office Services administrative requests. The work setting will normally be the mailroom although employee will distribute mail and packages throughout the corporate office during the day.
Schedule office maintenance and coordinate with vendors and building management
Act as first point of contact for building management corporate office vendors
Submit building management requests and coordinates work request resolutions
Identify office issues and submit service requests to building management, coordinate resolutions and report status of such requests to supervisor
Monitor security access information and provide/delete employee access
Audit invoices such as parking and UPS
Inventory control, supply ordering and approving all corporate office supply requests via online supply source
Responsible for supporting large corporate office meeting and events
Monitor and responds to Corporate Service requests
Receive and deliver incoming mail, interdepartmental mail, and process outgoing mail
Monitor conference room schedules and make sure that all conference rooms are cleaned out after use
Maintain supplies as needed in the conference rooms
Proficient in operating and maintain equipment postage machine and inserter
Oversee postage meters to ensure that postage is replenished
Maintain equipment and provide shipping supplies for the corporate office
Perform other duties as assigned; other responsibilities will be routinely assigned by supervisor
High School Diploma required; Bachelor s degree preferred
One or more years of experience in a professional office setting preferred
Knowledge of proper operations for a variety of related office machines
Must be able to build a strong knowledge of department locations and organizational structure
Knowledge of current postage rates and regulations
Ability to accurately sort and distribute large amounts of mail
Must be able to organize tasks and time to ensure timely completion of all projects
Effective written and verbal communication skills

Will be exposed to constant activity that requires intermittent standing, bending, crouching, pushing/pulling, lifting/moving/carrying (light to heavy weight material/appliances/equipment up to 50 lbs. ), and climbing ladders/stairs.
Requires manual dexterity sufficient to operate small-motorized equipment (i.e., repetitive hand/wrist, griping and elbow motion).
Must have normal range of hearing, vision, color discrimination and depth perception for proper operation of machines and equipment.
Must be able to complete tasks wearing appropriate safety equipment (i.e., goggles, masks, gloves, etc.).
Must be able to read and write in English at intermediate level to read diagrams, meters, instructions, etc.
Must be able to apply common sense understanding to carry out instructions and plans.
Deals with standardized situations with occasional or no deviations from standard procedures.
Requires public contact and excellent interpersonal skills.
Will be exposed on a regular basis to outdoor environment (i.e., heat, cold, damp, rain, etc.). Will also have light to moderate exposure to injuries (i.e., chemicals, electrical, machinery, tools, lifting, etc.).
Will be exposed to some low-level noise when using postage and sorting machines.
Hazards can be minimized with proper lifting techniques, SDS and general safety training, and wearing of proper safety equipment.
