- Manage all aspects of the clients' Transaction Playbooks
- Track status of all deals
- Track and manage all deal documentation
- Proactively assist the brokers in completing all documentation, including working with co-op brokers to gather the required information
- Track all completed transactions
- Manage all commission invoicing
- Prepare all invoices in a timely manner
- Track status of all commissions and client rebates
- Work with Accounts Receivable to ensure all invoices are processed promptly
- Manage client database
- Coordinate and assist with collecting, aggregating, and preparing data (Quarterly Business Reviews, Mark to Market reports, Project Overviews, etc. )
- Prepare basic financial analysis
- Provide business development and targeted sales/marketing support
- Coordinate with other departments based on the needs of the fee-earner
- Internal and external client interaction
- Coordinate events (meetings, open houses, etc. )
- Collaborate with team on deliverables and make suggestions on improving deliverables
- Maintain confidential department records and office files in accordance with internal company procedures
- Assist in the creation and/or editing of presentation materials including flyers, exclusives, leasing proposals, case studies, email blasts, invitations, letter of intent (LOI), NDA's, DREARs, Referrals etc.
- Utilize standard marketing-approved templates and graphics while assisting in the creation of presentation materials, etc.
Qualifications You Bring:
- Bachelor's Degree highly preferred
- 2+ year of experience in commercial real estate, or any similar combination of education and experience
- Possess California Department of Real Estate (DRE) license or willing to obtain one during first six months of employment
- Intermediate working knowledge of Adobe Creative Suite.
- Experience creating and editing marketing materials
- Proficiency with Microsoft Office Suite; Excel, Word, PowerPoint, Outlook and Teams
- Argus commercial real estate software experience a plus.
- Strong writing, editing, and proofreading skills, correcting spelling, grammatical, and layout errors
- Detail oriented, able to handle multiple projects simultaneously
- Extremely professional & proven record of providing excellent customer service, both internal and external clients
- Ability to work in a deadline-driven environment with strong organizational & priority setting skills
- Excellent verbal and written communication skills
- Upbeat, energetic, takes initiative, dependable, takes pride in work, and works well within a team
- Excellent attendance and punctuality
Physical Environment:
- Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day.
- May involve periods of standing, such as operating at machines including copiers, faxes, scanners, binding, cutting, and folding.
