Brokerage Administrator
REPORTS TO: Office Manager or Above CLASSIFICATION: Non-Exempt
DEPARTMENT: Administrative Services
POSITION PURPOSE
Provides a wide range of high-quality complex office administration and support to the senior brokers.
ACCOUNTABILITIES
May be responsible for one or more of the following:
* Reviews, prioritizes, directs and delegates a wide variety of complex and confidential business-related requests that are presented to the broker for consideration.
* Summarizes, prioritizes, and researches information into a concise and usable format for the broker to review. * Responds to or routes priority or confidential business-related inquiries from external or internal sources with correspondence or other messaging on behalf of the broker.
* Creates or directs creation of reports, charts, budgets and other presentation materials for the broker
* Schedules and organizes complex calendar activities, working around scheduling conflicts and maintaining responsibility for the broker's professional calendar.
* Manages end to end complex business related global and domestic travel arrangements and logistics for the broker, including expense reporting management and reconciliation.
* Coordinates brokers communications, including taking calls, responding to emails and interfacing with clients, while maintaining discretion and instilling confidence in clients and staff.
* Coordinates data from a variety of sources for inclusion in technical reports and presentations, performs independent research and prepares information for special projects as required. Delegates tasks to staff members when necessary while maintaining ultimate responsibility for the project's successful completion.
* Represents the broker by attending meetings in the broker's absence and speaking/presenting on behalf of the broker.
* Partners with Office Operations personnel to ensure adequate availability and operation of office equipment and resources in support of the broker's needs, making recommendations for enhanced efficiencies and troubleshooting issues.
* Independently manages business requests, determines the appropriate course of action, intervenes when necessary, and serves as a liaison between the broker and other key members of the management team.
* Solely responsible for developing and maintaining efficient filing systems, leveraging technology and other solutions to ensure files are accurately maintained, archived, and readily available.
* Has a broad knowledge and understanding of the company's operations and business objectives.
* Reception duties to include, phone answering, mail/package receive and delivery, booking and set up of meeting room with catering and AV needs.
* Any other duties as needed.
MINIMUM REQUIREMENTS
- High School Diploma or GED
- 2+ years of administrative support experience
- Or any similar combination of education and experience
- Proficiency with Microsoft Office Suite
- Excellent verbal and written communication skills
- Ability to exercise discretion in dealing with confidential information and highly sensitive issues
- Strong interpersonal skills and problem-solving ability
- Proven record of excellent internal and external customer service
- Excellent attendance and punctuality
PHYSICAL REQUIREMENTS
- Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer
- Regularly required to talk, hear, and use hands and fingers to write and type
- Ability to speak clearly so others can understand you
- Ability to read and understand information and ideas presented orally and in writing
- Ability to communicate information and ideas in writing and orally so others will understand
- Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
