Job Description
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
Answer all Service Desk phone calls and emails.
Respond to all building maintenance, conference room, floor and pantry issues reported, and dispatch appropriate resources in a timely manner.
Enter work orders into various ticketing systems as appropriate.
Work closely with internal clients to ensure timely and appropriate action is taken for requests.
Responsible for updating vendor logs and follow-up on open tickets.
Generate internal ticketing system reports daily to review work orders in various ticketing systems.
Utilize internal applications and follow up with callers regarding requested information.
Create conference room signage for next day scheduled meetings.
Operate phone system, answering 200-300 incoming calls per day. Most calls require some information to be extracted from the caller in order to determine call placement.
Receive all visitors in a courteous and professional manner, and ensure all inquiries are handled appropriately.
Enter guest names into buildingâ™s visitor application.
Coordinate scheduling for conference rooms in reservation system, including audio visual equipment, catering (via email), room layout, signage, etc. Enter associated work orders into internal ticketing systems.
Cross-train to cover main and executive reception areas.
Coordinate room setups for next day meetings.
Other duties, as assigned.
JOB REQUIREMENTS & QUALIFICATIONS:
High School diploma or equivalent (GED).
Always maintain a friendly, customer-service oriented demeanor.
Strong follow-up skills.
Minimum of 1-3 years of high volume call center or help desk experience preferred.
Experience with reservation and ticketing application tools a plus.
Ability and motivation to learn new technologies quickly and with minimal support and guidance.
Excellent communication / interpersonal skills.
Excellent organizational and administrative skills.
Proficient in Microsoft Office Suite.
Excellent written and verbal communications skills.
Must be attentive to detail, accurate, and able to prioritize multiple tasks in a high pressure, fast-paced environment.
Highly motivated and able to work independently with minimum direction as well as in a team environment.
